Booking Terms & Conditions
1. Booking Confirmation
- A booking is confirmed only upon receipt of full payment or the agreed deposit.
- Places are allocated on a first-come, first-served basis.
- Once a camp reaches capacity, a waiting list may be operated.
2. Payment
- All camp and session fees must be paid before the participant attends or on their first day of attendance unless otherwise agreed with AP Coaching Sunderland.
- Failure to pay may result in the booking being cancelled and the place offered to another participant.
3. Cancellations by Parents/Guardians
- Cancellations made more than 3 days before the camp or session start date will receive a full refund, less any non-refundable booking or administration fee.
- Cancellations made within 3 days of the camp or session start date are non-refundable.
- No refunds will be given for missed days, illness, injury, or non-attendance once the camp or session has started, unless otherwise agreed with AP Coaching Sunderland.
4. Cancellation by AP Coaching Sunderland
- We reserve the right to cancel or postpone a camp or session due to insufficient bookings, severe weather, venue issues, staff illness, or circumstances beyond our control.
- Where possible, an alternative date will be offered.
- If an alternative cannot be provided, a full refund will be issued.
5. Medical Information
- Parents/guardians must disclose any medical conditions, allergies, medications, or additional support requirements when booking.
- We reserve the right to refuse participation if essential medical information has not been provided.
- In the event of an emergency, parents/guardians authorise camp staff to seek appropriate medical treatment if they cannot be contacted immediately.
6. Participant Behaviour
- All participants are expected to behave respectfully towards coaches, staff, and fellow participants.
- Bullying, abusive behaviour, discrimination, violence, or persistent disruption will not be tolerated.
- The organiser reserves the right to remove any participant whose behaviour is considered unsafe or unacceptable. No refund will be provided in these circumstances.
7. Arrival and Collection
- Parents/guardians are responsible for ensuring participants arrive and are collected at the designated times.
- The organiser accepts no responsibility for participants outside the advertised camp or session hours.
8. Clothing and Equipment
Participants should arrive with:
- Suitable sports clothing.
- Appropriate football boots and trainers.
- Shin pads (mandatory).
- A refillable water bottle.
- A packed lunch.
- Weather-appropriate clothing, including waterproofs or sun protection where necessary.
AP Coaching Sunderland cannot accept responsibility for lost, stolen, or damaged personal belongings.
9. Photography and Video
- Photographs and videos may be taken during camp or session for coaching, promotional, and marketing purposes.
- Parents/guardians who do not consent must notify AP Coaching Sunderland before the camp or session begins.
- Every effort will be made to respect these preferences.
10. Health and Safety
- Participants must follow all instructions given by coaches and staff.
- Players who appear unwell or unable to participate safely may be asked to sit out activities or be collected early.
- The organiser follows appropriate safeguarding and health and safety procedures.
11. Liability
- Football is a physical activity that carries an inherent risk of injury.
- While every reasonable precaution is taken to ensure participants’ safety, attendance is at the participant’s own risk.
- The organiser shall not be liable for any injury, loss, or damage except where caused by negligence or where liability cannot legally be excluded.
12. Data Protection
- Personal information collected during booking will be used solely for administering the football camp or session and communicating with parents/guardians.
- Information will be handled in accordance with applicable data protection legislation and will not be shared with third parties unless required by law or necessary for the safe delivery of the camp or session.
13. Force Majeure
The organiser shall not be liable for delays, cancellations, or changes caused by events beyond reasonable control, including but not limited to extreme weather, pandemics, government restrictions, industrial action, or venue closures.
14. Agreement
By completing a booking, the parent or guardian confirms that:
- They have read and accepted these Terms & Conditions.
- The participant is medically fit to take part in football activities unless disclosed otherwise.
- The information provided during booking is accurate and complete.
